Job Vacancy: Personal Assistant

Job Title: Personal Assistant 

Reporting to: The Managing Director

Department / Location: Operations / Admin & Finance - Abuja.
Gender Female

Responsibilities:

Operations:
. Screening telephone calls, enquiries and requests, and handling them when appropriate
. Meeting and greeting visitors at all levels of seniority
. Organizing and maintaining diaries and making appointments
. Dealing with incoming email, faxes and post, on behalf of MD
. Taking dictation and minutes
. Carrying out research on behalf of MD and presenting findings
. Producing documents, briefing papers, reports and presentations
. Organizing and attending meetings and ensuring MD is well-prepared for meetings
. Liaising with clients, suppliers and other staff
. Deputizing for MD, making decisions and delegating work to others in the MD�s absence
. Devising and maintaining office systems, including data management, filing, etc.
. Arranging travel and accommodation and, occasionally, traveling with MD to take notes or dictation at meetings or to provide general assistance during presentations.
. Carrying out specific projects and research
. Responsible for MD�s accounts and budgets 
. Assist the Managing Director on any Operational/Finance/Administrative Issue
. Conduct ad hoc research as required
. Oversee the work of staff engaged in the delivery of office projects
. Attend meetings to ensure that work can be taken forward as planned.
. Carry out other tasks that may be necessary to deliver this Terms of Reference 
. Other duties as assigned


Qualifications:
The Personal Assistant will need to have the following attributes:
. A good understanding of the PA/ ADMINISTRATIVE SECRETARIAL work with atleast 3-5 yrs Post NYSC
. working experience as a PA/ ADMINISTRATIVE SECRETARY
. An ability to think and write clearly
. A degree in secretarial studies or its equivalent
. Excellent interpersonal skills and an ability to relate well with senior government officials
. Good presentation skills and an ability to speak confidently in public
. Excellent Information Technology skills, particularly the ability to use Microsoft
. Word, Excel and PowerPoint.
. Excellent project planning and organisational skills, including the ability to follow up agreed actions and track progress

REMUNERATION: Remuneration will be commensurate to the person�s qualification and experience
